New online system will make research contract requests easier to manage

Research and Innovation Service’s Research Contracts team have been working closely with the iSolutions Service Now Acceleration Programme team to develop a new online system that will improve the transparency, accuracy and efficiency of research and enterprise related contract management and progression.

On average, the research contracts and commercialisation teams in Research and Innovation Services (RIS) receive around 157 new contracts a month. For the small teams and the researchers submitting the contracts there is a huge amount of work involved in the contract life cycle, from the drafting stage to submission and completion.

The newly developed system incorporates an electronic contract request form (eCRF) and a procedure for management of contract requests, both of which will go some way to providing a more efficient service.

The submission of an eCRF automatically generates a ServiceNow alert to allow quick and easy communication between RIS and our researchers. The ServiceNow Portal enables researchers to view the status of their contract and notes about its progress.

Letitia Baldock, Head of Contracts, Policy and Governance in RIS commented:

“This system is all about efficiency and sustainability for RIS and our academic colleagues, it is great to see it being used and receiving positive feedback. This work was initiated by Diana Galpin and involved a few teams in RIS working closely with iSolutions. It has been a great example of collegiality and I want to thank everyone involved in this project, particularly Diana, Kieron, Lizzie and Anna for all their hard work, help and support.”
