Our new Absence Reporting Line for staff

From Monday 16 March 2020, the University is introducing a central Absence Reporting Line to enable staff to register absences quickly and easily.

It is critical during the COVID-19 outbreak that we have an up to date and accurate picture of impact, therefore all staff are required to use this facility to record any absence (excluding holiday, which can be booked as usual via MyHR Dashboard). This includes all sickness, either due to or unrelated to COVID-19; self-isolation (whether working from home or not able to); and Compassionate and Domestic Leave. Colleagues do not need to use this reporting line if they are working from home with the prior agreement of their line manager, unless this is because they are self-isolating.

From 16 March until further notice, staff must report their absence via one of the following methods:

When calling this number, staff should have their ID number to hand (this can be found on the bottom of their ID card).

Alternatively, if staff want to report the absence online, they can do so using the form here:

The form will be accessible externally (i.e. staff do not need to be on the University network to access it).

Once the form has been submitted it will be assigned to HR to add the absence to the staff member’s HR record. A notification will also be sent to the line manager.

This process does not replace the requirement for staff to notify their line manager of their absence and they still need to call them (or an appropriate alternative person) to let them know they will not be at work.
