Staff COVID-19 related reporting

A new COVID reporting form is now available for staff who need to report COVID-related self-isolation, including a positive test result.

This is a change from the current process where staff who have needed to self-isolate have used MyHR on the HR dashboard.

Many staff are working from home and so a self-isolation does not necessarily mean an absence from work, unless staff are sick. In the event that a self-isolation or sickness does result in an absence from work, this still needs to be reported via MyHR Dashboard.

Why is this happening?

The changes enable us to continue to keep our buildings and campuses safe for all staff and students and we ask everyone to consider the interests of the University community and report any self-isolation or positive test results promptly.

In addition, all universities have to report the numbers of staff and students who are self-isolating and have tested positive for COVID-19 to external bodies, such as Public Health England and the Department for Education, and these changes will help us to fulfil these obligations.

Staff COVID reporting form

You should inform your line manager and complete the staff reporting form if:

  • You have tested positive for COVID-19 after taking a test with NHS Test and Trace or the Southampton Saliva Testing Programme
  • You are self-isolating for any other reason, including if:
    • You have COVID symptoms and are awaiting a test/test result
    • You have been contacted by the NHS Test and Trace service and told to self-isolate
    • You live with someone who has tested positive or who has symptoms and is awaiting a test/test result

Absence recording: MyHR Dashboard

You should continue to record any absence from work via MyHR Dashboard including if:

  • You are sick and unable to work
  • You are self-isolating and would usually need to be on site to work, therefore you are absent from work
  • You do not need to record self-isolation via MyHR if you are continuing to work from home.

Remember you must follow government guidelines if you become ill with COVID-19 symptoms or are asked to self isolate.
