Threats of cyber-attacks on universities, which are usually initiated by phishing attacks, are increasing. The University is taking these threats very seriously.
The rise of sophisticated cyber attacks to obtain staff usernames and passwords poses a significant risk due to the access and permissions that many of us have to important University systems.
In response, the University is currently rolling out a Multi-Factor Authentication (MFA) feature to all staff and student IT accounts.
What is MFA?
MFA provides an added layer of security to our University IT accounts by asking users to verify their identity using either a mobile phone or an MFA token. An MFA token can be obtained by contacting ServiceLine.
When is it coming?
MFA is already here, and thank you to the many staff members who have set it up. For those who still need to do this, you will shortly be prompted to set up MFA. Once prompted, you will have 14 days to set it up, or you will be locked out. To unlock your account, you will need to contact ServiceLine for assistance.
How do I set up MFA?
It takes on average 10 minutes to set up MFA. You only need to set up MFA once. However, you will be asked to verify your identity from time to time.
Step 1: Once the prompt ‘More information required‘ appears, choose “Next”
Step 2: Start by getting the app. Our recommended authentication method is to use the free Microsoft Authenticator app. If you have this app installed on your mobile device, select “Next” and follow the prompts to add your University IT account. If you don’t have it installed there is a link provided to download it.
If you would rather set up your MFA using text message or a phone call, select “I want to set up a different method”. Microsoft 365 will ask for your mobile number, then send you an SMS message containing a 6-digit code to verify your device.
Step 3: Enter the verification code in the app when prompted.
Some things to be aware of:
- If you have an older mobile device (<iOS 10 or <Android 5), you will be unable to use the authenticator app, so consider opting for the text message or phone call as a method.
- To check that MFA has been set up on your account or if you need to change settings go to My Sign-Ins (microsoft.com)
- If you are unable or do not wish to use your mobile device for authentication, you can order an MFA Token from ServiceLine.
What if I need help?
You can access MFA set up instructions both in written and video format, handy ‘Hints and Tips’ and ‘Frequently asked Questions’ on our Cyber Security Pages.
