Collaborative working – using Outlook to view desk bookings

With the move to hybrid working, people are enjoying the benefits of flexible working.  The introduction of shared desks has enabled individuals and teams to group together differently depending on activity, and you can use Outlook to help find the best desk locations for collaborative working.

Feedback 

We know from feedback collected from the Future Ways of Working (FWoW) programme that: 

  • Staff are keen to see where a group of desks are available so that they can book these for team working 
  • People want to quickly see who is using specific meeting rooms across a week to see when resource availability is good, allowing them to plan best days to come into the office. 

Solution 

iSolutions and the FWoW team have created written and video tutorial guidance demonstrating how you can set up Outlook to quickly view desk and meeting rooms bookings across an area. 

Longer term solution 

We know that there is an appetite for a university-wide booking solution that encompasses other areas and includes integration with mapping software. The FWoW Team have gathered requirements for this so the University can revisit in the future.
