Introducing the electronic Procurement Initiation Document (ePID)

The Procurement Team are pleased to introduce the electronic Procurement Initiation Document (ePID) – a new online form designed to streamline and optimise the procurement initiation process for Purchasers within the University. The ePID launches today (21 August 2023) and replaces the old ‘paper-based’ Procurement Initiation Document.

What’s New?

The ePID system is one of a number of changes to the procurement processes recently, and in particular it brings several significant enhancements to the early stages of the procurement process:

  • The ePID seamlessly integrates into our University’s SUSSED site. As a Purchaser, you’ll be able to access the document securely and conveniently from the site using your existing login credentials.
  • The ePID automatically and accurately retrieves your contact details from your University profile, eliminating the need for you to enter this information and helping the Procurement Team.
  • The ePID asks you specific questions to help us understand your procurement requirements. This gives us – the Procurement team – the ‘headline’ information we need to carry out a quick and efficient assessment of your requirements.
  • By enhancing data collection and clarity, the ePID allows us to respond more quickly to you and means we can be more agile. A dedicated Procurement Lead will be assigned to your project, and they will aim to respond to your ePID within two working days of you submitting it.
  • We are committed to providing exceptional support throughout your procurement journey. The ePID’s detailed information empowers us to offer personalised advice and assistance throughout the process.

If you’re not already signed in, you’ll need to authenticate your University credentials to access it.

Important Note

The legacy ‘paper-based’ initiation document (the Excel document that you may be used to) will be retired from 31 August 2023, and we kindly request all Purchasers to transition to the new ePID for all future procurement initiation activities.
