New HR Requests for University Visitors

Four new Visitor HR Requests will be available from 2 October 2023 for hosting departments to request visitor registration with HR, replacing the current two requests.

The four new requests are:

  • Visitor Access Request
  • Extend Visitor Access Request
  • International Sponsored Researcher (Visitor) Request
  • Extend International Sponsored Researcher (Visitor) Request

Revised HR7 & HR7a forms to support data collection prior to completion of the online requests will be available here.

What’s changed and why?

  • Reduction in document collection for visitors. Unless the visitor requires University visa sponsorship (GAE visa), the only document required to be attached will be an ATAS certificate (where relevant). Confirmation that the visitor has read and understood the Visitor Privacy Notice will be required, removing the need to attach this to the request.
  • ATAS compliance. New dynamic questions for ATAS will appear depending on details provided in the request.
  • Accountability. Host approval (in addition to Head of School) is now required for requests, ensuring full details of the visit are known and approved, such as ATAS compliance.
  • Eligibility for the 12-month (Academic) Visitor visa. Applicants must meet certain eligibility criteria for this visa. Hosting departments need to confirm the eligibility is met.

The new requests do not affect the existing University Visitor Policy, Guidance and Appointment Criteria and do not affect the IT access (Subscribe) or ID card processes.

Departments should inform HR if any visitor leaves early by completing the Visitor Leaver Request. This will ensure their University access is removed in line with the earlier date.
